1. Agreement, operator and scope
These terms cover mailroutine.net and the free hosted MailRoutine Cloud beta at app.mailroutine.net. The contracting operator behind MailRoutine Team is [Operator confirmation pending], at [Operator confirmation pending], [Operator confirmation pending]. Contact support@mailroutine.net. Effective date: [Operator confirmation pending]. Those identity details must be finalized before these terms become effective.
Cloud users must receive an opportunity to read these terms and agree in the application. Merely visiting the marketing website does not authorize Gmail access or payment. If acting for an organization, you must be authorized to bind it. Self-hosted software is separately licensed.
2. Eligibility and accounts
You must be at least 18, able to enter a binding agreement and authorized to manage the Google account you connect. Provide accurate information, protect access to your account and notify support of unauthorized use. You are responsible for instructions you authorize, subject to responsibilities and consumer protections applicable law places on the operator.
3. Service and Gmail authorization
MailRoutine applies user-configured Gmail searches and actions on a schedule through Google's official Gmail API. Supported actions are archive, move to Trash, mark read, mark unread, add label and remove label. MailRoutine is not an email client, is independent of Google and is not endorsed by Google.
Connecting Gmail requires your separate Google authorization. You instruct the service through your routines. Review the permission screen and preview matches before enabling changes. You can disable routines, disconnect Gmail or revoke Google access. Mail content and message IDs are processed only at runtime and are not saved. Other account and routine data is described in the Privacy Policy.
4. Your routines, email changes and recovery
You select the search, actions, labels, schedule and limits. Incorrect searches can affect unintended messages. Archive removes inbox placement while retaining messages in Gmail. Moving messages to Trash is not immediate permanent deletion by MailRoutine; Google's own retention rules can later delete them.
There is no universal one-click undo or mailbox backup. Some changes can be reversed manually in Gmail depending on the action and message state. Use independent safeguards when needed. These cautions do not waive the operator's duties under mandatory law.
5. Scheduling and third-party dependencies
The Cloud scheduler checks due routines approximately hourly. Minute-precise execution is not guaranteed. Quotas, expired authorization, maintenance and provider outages can delay or interrupt runs. The beta should not be your sole means of handling critical communications or preserving required records. Google, Gmail and other external services have their own terms and availability conditions.
6. Free beta, changes and future pricing
Cloud is currently a free beta, requires no credit card and these terms authorize no charges. Pricing after beta is unannounced. Permanent free Cloud access is not promised. Paid plans require clear prices, billing terms and your separate agreement before charging; the free beta will not silently become a paid subscription.
Features, limits and availability can change during beta. For material changes or planned discontinuation affecting existing users, we will provide reasonable notice where feasible and required by law. Urgent security or legal changes may require immediate action.
7. Acceptable use
Use the service lawfully and only with authorized accounts. Do not bypass controls or reasonable limits, attempt unauthorized access, interfere with infrastructure, distribute malicious code, misuse credentials or infringe others' rights. Comply with applicable sanctions and export restrictions. Report security issues privately to support@mailroutine.net; never publish passwords, tokens or Gmail data in GitHub issues.
8. Your information and privacy
You retain your rights in information and routine settings you supply. You permit only the processing needed to run authorized operations and provide the service. These terms do not transfer mailbox ownership or grant advertising rights in Gmail information. You must be authorized to submit others' information.
The Privacy Policy explains processing, US storage, international transfers, deletion requests and analytics choices. Agreement to these terms does not replace optional analytics consent or legal safeguards required for international transfers. Verified personal-data deletion requests will be fulfilled within 30 days, subject to narrowly applicable legal retention exceptions explained to you.
9. Intellectual property and open source
Applicable rights protect the website, hosted service and brand. You may use them as needed to use the service lawfully; do not misrepresent endorsement. Feedback may be used to improve the service without transferring ownership of your personal information.
MailRoutine Self-Hosted is separate Apache 2.0 software. Its license governs copying, modification and distribution and takes precedence over any conflicting restriction here. You are responsible for your self-hosted infrastructure, security and OAuth setup.
10. Suspension, termination and deletion
You may stop using Cloud, disable routines and disconnect Gmail at any time. Request deletion at privacy@mailroutine.net. Google revocation does not reverse past actions or itself delete account records.
We may restrict or suspend access proportionately for material misuse, security risks or legal duties. Where feasible we will explain the reason and allow you to resolve or challenge it through support@mailroutine.net. Immediate action may be necessary for safety or legal compliance. Planned discontinuation will include reasonable notice and directions for obtaining available account/routine information where feasible and required. MailRoutine cannot export a stored mailbox because it does not store one.
11. Warranties and EU consumer protections
To the extent permitted by law, the free beta is provided as available without additional promises of uninterrupted operation, absence of errors, fitness for every purpose or recovery of all changed messages. Third-party services are outside our warranty. Obligations and guarantees that cannot lawfully be excluded continue to apply.
EU/EEA and UK consumers retain applicable digital-service conformity rights, remedies and protections against unfair terms, including where personal data is provided in exchange for a service and the relevant law applies. These terms do not waive those protections.
12. Liability
To the extent allowed by law, the operator is not responsible for unforeseeable losses, losses caused solely by unauthorized or incorrect user instructions, or failures solely attributable to third-party services outside its reasonable control. This does not excuse the operator's own breach of legal or contractual duties.
Nothing excludes liability for fraud, intentional wrongdoing, non-excludable gross negligence, death or personal injury caused by negligence, or any other liability or consumer remedy that cannot lawfully be limited. These terms impose no fixed monetary liability cap, mandatory arbitration, class-action waiver or broad user indemnity.
13. Governing law and disputes
The confirmed governing law is [Operator confirmation pending]; it remains undecided and must be finalized. Contact support@mailroutine.net first so we can try to resolve a concern. You retain access to competent courts and regulators.
For consumers, a choice of law cannot deprive you of mandatory protections otherwise available in your habitual residence. EU/EEA consumers retain access to courts available under consumer-jurisdiction rules. US and California users retain non-waivable statutory rights. No mandatory arbitration or class-action waiver applies.
14. Changes and general terms
We will post updates with a revision date and communicate material changes appropriately before taking effect. Renewed agreement will be requested where required. Changes do not apply retroactively to existing disputes unless legally permitted and agreed. You may stop using the service and request deletion if you do not accept a future change.
If a clause is unenforceable, remaining clauses apply to the extent permitted by law. A one-time failure to enforce a right is not a permanent waiver. A service transfer must preserve mandatory consumer and privacy protections. Contact support@mailroutine.net or [Operator confirmation pending] for notices.
