You make the decisions
Choose the Gmail search, action, schedule and per-run limit. No model decides what matters.
For recurring Gmail cleanup, explicit rules give you a more predictable alternative to delegating decisions to an AI agent.

Six cleanup actions. No sending, replying or forwarding. No permanent-delete action.
MailRoutine does not use or transfer Google user data to train generalized AI or machine-learning models.
MailRoutine is a rule-based cleanup tool. Agentic email tools use AI to interpret a goal and may choose actions to achieve it.
A comparison of approaches, not a verdict on every AI product. Agent capabilities depend on the provider, connected tools, permissions and approval settings.
| Capability or safeguard | MailRoutineYour rules, executed | Agentic email AIA goal, interpreted |
|---|---|---|
| Can access email? | MailRoutine Yes. Gmail access finds matching messages; sender, subject and date are read for previews. Message bodies and attachments are not stored. | Agentic email AI May read message content and attachments to understand context, if granted access. |
| Who decides what happens? | MailRoutine You define the search and one action. Matching is rule-based, not a model’s judgment about your email. | Agentic email AI A model may interpret your instructions, classify messages and select actions. Some tools also offer fixed rules. |
| Send or reply on your behalf? | MailRoutine Not supported. MailRoutine does not compose, send or reply to email. | Agentic email AI May draft or send messages when connected tools permit it; confirmation requirements vary. |
| Forward your messages? | MailRoutine Not supported. Routines cannot forward email to another recipient. | Agentic email AI May forward or share content when enabled. Recipient restrictions and approvals vary. |
| Delete email? | MailRoutine Move to Trash only, when you select it. No immediate permanent-delete action. Gmail normally permanently deletes Trash after 30 days. | Agentic email AI May archive, trash or permanently delete, depending on its tools and granted access. |
| Deterministic behavior? | MailRoutine The same configured rule applies to matching messages. Results change as your mailbox and time-based searches change; there is no AI decision step. | Agentic email AI Model judgments may vary with context or model updates. Guardrails and fixed workflows can make behavior more constrained. |
| Gmail data used for AI training? | MailRoutine No use or transfer of Google user data to develop or train generalized AI or machine-learning models, as stated in our privacy policy. | Agentic email AI Depends on provider policy, plan and settings. Some providers explicitly exclude your data from training; check the specific service. |
| Can email text instruct the tool? | MailRoutine Email text is not interpreted as instructions to an AI model. Only your configured search and action drive the routine. | Agentic email AI Agents that interpret untrusted email content can face prompt-injection risks. Protections and approval gates vary. |
| Review and limit actions? | MailRoutine Preview matches before enabling, set a per-run limit, and review execution history. Preview is not an approval gate for every later run. | Agentic email AI May offer previews, audit logs, tool restrictions and human approval. Check which safeguards are enabled. |
| Control where it runs? | MailRoutine Choose hosted Cloud or the free Apache 2.0 self-hosted edition with your own infrastructure and OAuth setup. | Agentic email AI Hosted and self-hosted options exist; availability and data handling vary by product. |
MailRoutine removes the model’s decision step and keeps routine actions narrow. That is a better fit when you want predictable cleanup rather than autonomous email handling. A broad or incorrect search can still affect important messages: preview carefully, start with a small per-run limit, and remember there is no universal undo.
MailRoutine requests Gmail’s gmail.modify permission. That permission is broader than the six actions exposed by routines and can permit sending email. MailRoutine does not implement sending or forwarding; this is an application behavior limit, not a claim that Google’s permission technically makes those actions impossible.
Use MailRoutine for repeatable tasks such as archiving old newsletters or labeling matching messages. An AI assistant may be useful for summaries, drafting or contextual triage. Those are different jobs—not features MailRoutine claims to replace.
